Event guide: Application, invite-only or pre-screened events
Updated yesterday

You can use hidden ticket types & access codes, checkout questions and email campaigns to create an event where you want to pre-screen registrants and offer them exclusive access based on their answers to a questionnaire.

Create your ticket type options

Head to tickets > ticket types to create your 'RSVP/Registration' and 'admission' ticket options.

  • Create a free "Registration of Interest" ticket

Guests will use this 'ticket' to register their interest and answer your qualifying questions

  • Using the settings ⚙️ we recommend including a ticket type description that describes nature of the approval process.

  • Under advanced settings we recommend setting a "max per order" of '1' to help your manage requests.

Don't send digital tickets for your registration tickets

To help prevent confusion, you can turn off digital tickets being sent for the "ROI" ticket type. They will still receive an email confirmation.

Head to advanced > settings > tickets and turn off send tickets for the appropriate ticket type(s).

  • Create your "admission" ticket(s)

Create your paid/free admission ticket types approved buyers will use to register for the event.

  • Use the settings ⚙️ to toggle ON hidden. Hidden tickets are not publicly visible on the event page.

Create your questionnaire or application form

Using checkout questions you can create your application form that you will use to screen out potential buyer's.

You can apply questions once per order or to tickets individually.

You can also apply questions to only the registration of interest ticket type using the settings ⚙️ meaning approved buyers don't have to fill in the same information twice.

Create your access code to reveal admission tickets

Head to promote > access codes on the left-hand menu bar to create the code that will reveal your hidden admission ticket(s).

This is the code you will give to your approved buyers as access for them to make their actual registration purchase.

Review applications

All answers to checkout questions are stored on the manage attendees > attendees report. You can also export this report as a CSV for easy manipulation and filtering.

You can filter the attendees report by 'ticket type' using the filter option next to the search bar

Note: Questions asked on an order level are also found on the orders/refunds > orders report when exported as a CSV.

Filter out rejected applicants by cancelling their registration ticket

You can filter out rejected candidates by cancelling the ticket in their order.

Click on the order ID and select actions > cancel/refund... then follow the prompts.

Cancelled tickets are removed from your attendees report.

Use an email campaign to send access to admission tickets

Using an email campaign you can deliver the access code that will reveal your hidden admission ticket type for approved guests.

Filter your recipients

You can filter recipients of your email campaign to only orders of ticket type = "registration of interest".
This is a quick way to email all approved ticket holders (those whose tickets you had not cancelled).

Alternatively you can also use the selected orders option to manually select any approved guests.

Craft your email

Include in your email message the companion URL link of your access code.

This is a direct link to the event page that will also auto-populate the access code and reveal the hidden admission ticket. You can choose to hyperlink a piece of text in your email message to avoid exposing the URL.
