How to send a reminder email to your event

Ticket buyers do not automatically receive a reminder email before your event, but you can easily schedule them using the email campaign tool. Event reminders should be an essential piece of communication to educate buyers on important event information, transport options, and handy links to their ticket and order details.


Create a reminder email campaign

To get started, navigate to email campaigns on the top menu bar

Select new campaign

  • Start from scratch using the new blank campaign

    OR

  • Use the reminder email template to get rolling. This can be edited before you send.

To create your email campaign, you will need to:

  1. Give it a "campaign name" visible only to you, e.g. "Festival reminder 2 days before"

  2. Select all the events and/or event dates you wish to send this reminder to

  3. Select all recipients, the default is all buyers and orders

  4. Create or edit the subject line of the email as it appears in a recipient's inbox

  5. Craft your message


Write your reminder email message

Your reminder email should give attendees all the information they need to be prepped for the event ensuring they have everything they need and smooth entry into the event. Buyer frustration usually comes from poor communication!

You can use the event reminder email as a starting point to edit.

Shortcuts


Use the shortcuts available to easily personalise your email with details of the buyer, the event, and provide handy links to their tickets, for example.

Start typing "@" in your message and select the shortcut from the dropdown

These shortcuts will populate the appropriate information from that buyer and event

For example, your email message may include the following:

Hi @FirstName,

This is a reminder that @EventName is coming up soon on @EventShortDate

Address: @EventLocation

Your Order number: @OrderNumber

@ViewTickets

​[Use this space to answer any FAQs from ticket holders, such as]

  • Information about entry to the venue, including door and gate opening times

  • Transport options, including public transport, parking, and accessibility

  • List of important items to bring on the day e.g. sunscreen, appropriate footwear, personal items

  • List of do's and don'ts at the event

  • Instructions on how to join online event including the webinar link e.g. Zoom

[Provide any relevant contact information or social media links]

Schedule your reminder email to go out before your event

Use the schedule option to send out your reminder email now or automatically send it out at a designed time ahead of your event.

  • Use the before option to schedule an email to go out x days or hours before your event start date

  • Use the at option to schedule an email to out at a specific date and time

When you're ready to go, select verify & schedule

Scheduled email campaigns will send emails to all buyers who have purchased tickets until the time the email campaign is sent.


Schedule a reminder email to go out to multiple events or event dates

If you want to send out a reminder email to all event or recurring event dates we recommend using the before scheduling option when creating a campaign. Event or event date will be emailed separately and only ticket holders for each event/event date will be contacted.

Shortcuts in your email message will automatically populate the relevant buyer and event information the campaign is being sent to.

Select your campaign to email all events and event dates

If a specific event is not selected, all events you own or have shared access to will receive this email campaign

When using the before option, each event and event date will be emailed separately before the event start date and only those relevant ticket buyers will receive an email
