Check in your guests with the Humanitix scanning app

The Humanitix for Hosts app is free to download and designed to help you easily manage your event entry or track event sales while on the run. Check in guests by scanning their QR code or manually searching for their names.

Download the Humanitix for Hosts app

  1. Download the Humanitix for hosts app via the iOS Apple store (iPhone) or the Google Play store (Android)

  2. Log in using your Humanitix account email and password

The Humanitix for Hosts app is available for most regions and devices; however, refer to the minimum OS version requirements in the app store.

Note: You will need to grant camera permissions to the app to allow scanning

Internet connection

You will need an active internet or data connection to login and load your event.

Tickets can be scanned even if you lose internet connection. Check-in data and new ticket sales will be synced when you reconnect.


Select your event to scan tickets

After logging in, you will need to select the event you would like to scan tickets for. On the home dashboard, click on the event card. If your event has recurring event dates, select the event date.

  • Track live check-in and sales figures

  • Click the device tab to see how many tickets this particular device has scanned.

  • Use the filter 🎚️ icon to filter the tracker view by only certain ticket types.

  • Use the home 🏠 icon in the top left will take you back to your events list.


How to navigate the app

Use the bottom menu bar to switch between your event dashboard and scanning tickets

Overview: View check-in counts and sales information

Sell: Take tap-to-pay and cash sales at the door

Scan: Use the camera to scan QR codes

Attendees: Manually search a list of all ticket holders

Settings: Share event access to volunteers or log out


How to scan a QR code to check in guests

Every digital ticket sent to buyers contains a QR code that can be scanned using the device's camera.

  1. Click the scan icon on the bottom menu bar

  2. Hold the camera over the QR code that appears on the attendee's ticket

  3. A valid ticket will be checked in automatically once a QR code is scanned

  4. Click view order to see the buyer's details and all other tickets associated with this order

Ticket has been cancelled or is not valid for this event / event date

πŸ’‘Trouble scanning a ticket? Get the attendee to increase the brightness on their device. Ambient light may also affect a ticket being scanned. Try shielding the ticket from any sun/overhead lights.


How to check in multiple tickets from a single order

When a QR code is scanned, you can view all tickets associated with this order via the view order button on the pop-up toaster.

Click view order, then check in attendees individually OR check in all attendees at the same time

Speed up your gate check-in ⚑

Checking in all attendees via the order view means you do not have to individually scan each ticket holder, especially if they arrive as a group.

Count off the members of a group and check in the appropriate ticket holders using view order


How to search and check in attendees manually

You can search for attendees using their name or search for the order to see all tickets associated with an order.

Click the attendees tab on the bottom menu bar

Using the search bar enter the attendee name or buyer name / Order ID

There are two views:

Attendees

A list of each individual ticket holder (attendee)

Select the checkbox to the right to check in

Orders

A list of all orders (transactions) and the buyer's details

Click to view the order details and a list of tickets inside each order, which can be checked in.

Filter ticket types in the app for reporting or to prevent check-ins

You can filter which ticket types (and associated attendees) are visible in the app to help streamline your check-in reporting on the overview page and to prevent the check-in of certain ticket type holders.

Filtering ticket types is highly recommended for events with multiple-day entry ticket types or different entry points where you need to control which tickets can be scanned/checked in.

Filter to check in only selected ticket types

Filtering while on the scan tool means unselected ticket types cannot be scanned and checked in by that device. Tickets scanned will give an error message, and the ticket will not be checked in.

Click the "filter" button in the top right. By default, all ticket types can be scanned or manually searched.

Select or deselect individual tickets as required.

Unselected ticket types will mean those ticket holders will be hidden from the attendees tab.

Filtering will only apply to that device.

If you have multiple devices scanning tickets, you will need to apply a filter on all of them.

Filter to streamline your check-in reporting

Filtering while on the overview page will show you check-in data for only those selected ticket types

Click the overview page and then select the filter option in the top right. Select or deselect ticket types as required.

Filtering while on the overview page will not affect whether a ticket type can be scanned or not. If you want to prevent a ticket type from being scanned, you must filter on the scan page.


Sell tickets on the day via in-app Box Office

You can also make ticket sales through the app using the sell tab for both free orders, orders paid via cash, or credit card ticket sales using tap-to-pay on your mobile device

  1. Select the sell tab on the bottom menu bar

  2. Tap to add tickets to an order

  3. Select review cart

  4. Tap confirm or add buyer information to fill in the buyer details

  5. Select the payment method

Tap-to-pay is only available on devices that have NFC compatibility. Please check your device specifications.

NFC is typically available in all mid-to-high range mobile smartphones.

NFC is typically not available in tablet devices.

If your phone cannot make a tap-to-pay payment, you can use the manual card entry and enter a buyer's card details.

An active internet connection is required to make tap-to-pay purchases


Scan your tickets while offline

We recommend having a reliable internet connection at your event location to ensure check-ins sync across all your devices.

However, the Humanitix for Hosts app will continue to scan tickets even after you lose connection. Scan data will be stored locally on your device and synced when you next connect.

How to prep your devices before your event:

To ensure you have the attendee list for your event downloaded and ready to go on the day, we recommend:

  1. Download the Humanitix for Hosts and/or check for any updates in the app store

  2. Log in to the app

  3. Select the event(s)
    ​The most up-to-date attendee list will be automatically 'saved' to your device

An internet connection is required to log in to the app and open the event for the first time

If you are scanning across multiple devices without an internet connection, be aware that the same ticket can be scanned multiple times by different devices.
